Work Orders

Yes. Leave the technician field blank and assign later. The job stays in Scheduled status until assigned.
Yes. Assign additional technicians to the same work order. Each records their own time and parts.
Open the work order and change the scheduled date, or drag the job on the schedule board to a new date.
Yes. Open a completed work order and click Duplicate to create a new job with the same details.

Scheduling and Dispatch

Technicians can only see their own schedule. Dispatchers and Admins see everyone.
Vynta flags the conflict on the schedule board. Resolve it by moving one job or reassigning a technician.
Yes, but only for completed or missed jobs. Past jobs cannot be assigned to technicians.

Customer Portal

No. Each customer only sees their own jobs, invoices, and service history.
They still receive email notifications about job updates. The portal is optional.
Yes. When submitting a service request, customers can attach photos.

Team and Permissions

Your plan determines the limit. Check Settings > Billing for your current limits.
The four built-in roles cover most needs. For custom access levels, contact support.
Not with the same account. Create two accounts with different roles if needed.

Time and Attendance

An admin can manually add a clock-in entry from the Timesheets page.
Yes. The mobile app queues entries when offline and syncs when connectivity returns.
After a configurable grace period past shift end, Vynta automatically clocks out technicians who forgot. The entry is flagged for review.

Billing and Payments

Vynta exports invoices as CSV or PDF, which can be imported into most accounting tools. Direct integrations are planned.
Yes, if you connect PayFast. Customers can pay invoices through the portal.
Billing is based on parts used and time spent. You set the pricing on work order items. Labour rates are configured in Settings.

Inventory and Assets

Yes. Vynta uses part numbers and names. If you use barcodes, you can enter them as the part identifier.
The van stock will be out of sync. Vynta flags discrepancies when you run a stock count.
The unit cost in inventory is your cost price. When billed to a customer, the work order item uses your markup.
Yes. An asset’s location can be updated whenever it moves. The asset history shows every location change.

AI Features

The mobile app can record audio offline and transcribe it when connectivity returns.
Audio is processed for transcription and then discarded. Only the transcribed text is saved.
No. It provides suggestions based on patterns in your data. Always review AI-generated content before saving.
Yes. Go to Settings > AI and toggle off the features you don’t want.

Health and Safety

Yes. The mobile app has a simplified risk assessment form designed for field use.
The technician is flagged as non-compliant. They cannot be assigned to jobs requiring the expired certificate until it’s renewed.
Yes. Go to Health & Safety > Reports and export certificate status, incident logs, and risk assessment records.
