A work order is the single record that tracks a job from start to finish. Creating one takes about 30 seconds, and everything else — scheduling, dispatch, billing — flows from it.

Creating a Work Order

Go to Jobs

Click Jobs in the sidebar.

Click New Job

The work order form opens.

Fill in the details

  • Customer — search and select the customer
  • Job type — choose from your categories (Installation, Repair, Maintenance, etc.)
  • Description — what needs to be done (use the AI icon for suggestions)
  • Priority — Normal, Urgent, or Emergency
  • Scheduled date — when the job should happen
  • Service address — which of the customer’s sites

Save

The job is created with status Scheduled.

From a Customer Record

You can also create a work order directly from a customer:
  1. Open the customer record
  2. Click New Job
  3. The customer and service address are pre-filled
  4. Add the job details and save

From the Schedule Board

Click any empty slot on the schedule board to create a job for that technician on that date.

From the Customer Portal

When a customer submits a service request through the portal, Vynta creates a work order automatically. You review it, add details, and assign a technician.

Editing a Work Order

Open any work order and click Edit to change:
  • Description, priority, or job type
  • Scheduled date
  • Assigned technician
  • Parts list
  • Notes
All changes are logged in the job history.

Duplicating a Work Order

For repeat jobs, duplicate instead of creating from scratch:
  1. Open a completed work order
  2. Click Duplicate
  3. A new work order is created with the same customer, job type, and description
  4. Update the date and any changes, then save

FAQ

Yes. Leave the technician field blank and assign later. The job stays in Scheduled status until assigned.
You can edit the work order at any time until it’s marked as completed.
Yes. Open the work order and click Make Recurring to set up a schedule. See Recurring Jobs.
