Typing on a phone while standing in a muddy plant room isn’t ideal. Vynta’s voice dictation lets you speak your job notes and have them transcribed automatically.

How Voice Dictation Works

  1. Open a work order and tap the microphone icon in the notes or description field
  2. Speak naturally — Vynta transcribes your words in real time
  3. Review the transcription and edit if needed
  4. Save the note
The transcription uses AI to understand field service terminology, so terms like “RCD”, “COP”, or “BMS panel” come through correctly.

Where You Can Dictate

  • Work order descriptions — describe the job, the issue, and the fix
  • Parts notes — explain why a part was used
  • Completion notes — summarise what was done
  • Incident reports — describe safety incidents verbally
  • Risk assessments — dictate hazard observations

Language Support

Voice dictation supports English with field service terminology. The transcription engine is tuned for:
  • Technical vocabulary (electrical, HVAC, plumbing terms)
  • South African English accent patterns
  • Noisy environments (background noise filtering)
Voice dictation works best in relatively quiet environments. In very noisy sites, consider recording a voice memo and transcribing it later when you’re back in the van.

Tips for Better Transcriptions

  • Speak clearly and at a normal pace
  • Use full sentences rather than fragments
  • Pause briefly between different topics
  • Review the transcription before saving — AI isn’t perfect

The mobile app can record audio offline and transcribe it when connectivity returns.
Audio is processed for transcription and then discarded. Only the transcribed text is saved to the work order.
English is currently supported. Additional languages are planned for future releases.
