Not everyone on your team needs access to everything. Vynta’s role-based access control gives each person exactly the access they need — nothing more, nothing less.

The Four Roles

Owner

The account owner has full control:
  • All settings including billing and subscription
  • All data across the entire account
  • Can add and remove team members
  • Can delete the account
There can only be one owner per account.

Admin

Admins can do almost everything:
  • Create, edit, and delete work orders
  • Manage customers and team members
  • Access all reports and analytics
  • Configure settings (except billing)
  • Manage the customer portal

Dispatcher

Dispatchers focus on operations:
  • Schedule and assign jobs
  • Monitor technician status
  • Manage customer portal access
  • View reports
  • Cannot change settings or billing

Technician

Technicians see only what they need:
  • View their own assigned jobs
  • Clock in and out
  • Record parts and time against jobs
  • Add notes and photos
  • Use voice dictation
  • Complete jobs and capture signatures
They cannot see:
  • Other technicians’ schedules
  • Customer financial data
  • Settings or billing
  • Unassigned jobs

Assigning Roles

When you invite a team member, you choose their role:
  1. Go to Settings > Team
  2. Click Add Team Member
  3. Select the role from the dropdown
  4. Send the invitation
You can change a team member’s role at any time from their profile.

The four built-in roles cover most needs. For custom access levels, contact support.
The change takes effect immediately. If they’re logged in, they’ll need to refresh to see the updated access.
Yes. Go to Settings > Team, open the new owner’s profile, and click Transfer Ownership. Both parties must confirm.
