Setting Up Compliance

Define certificate types
Go to Health & Safety > Settings and add the certificate types relevant to your business (e.g., “Electrical COC”, “Gas Compliance”, “First Aid”).

Set renewal periods
For each certificate type, set how often it needs renewal (e.g., annually, every 2 years).

Assign certificates to technicians
Upload certificate documents and assign them to team members. Vynta tracks expiry dates automatically.
Certificate Expiry Alerts
When a certificate is approaching expiry:- A warning appears in the Needs Attention panel on the dashboard
- The technician’s profile shows the certificate as “Expiring soon”
- If the certificate expires, the technician cannot be assigned to jobs requiring that certificate
Job-Specific Risk Assessments
Before starting a job, technicians can complete a risk assessment:- Open the work order and go to Safety
- Complete the risk assessment checklist (hazards, PPE required, access restrictions)
- Sign off on the assessment
- The completed assessment is stored against the work order
Incident Reporting
Technicians can report incidents from the mobile app:- Tap Report Incident
- Select the type (near-miss, injury, damage)
- Describe what happened
- Attach photos if needed
- Submit for admin review

The technician is flagged as non-compliant. They can still clock in and work, but they cannot be assigned to jobs that require the expired certificate until it’s renewed.

Yes. Go to Health & Safety > Reports and export certificate status, incident logs, and risk assessment records as CSV or PDF.
