Every field service business knows the pain: a technician arrives on-site, opens the van, and the part they need isn’t there. Vynta’s inventory management keeps your stock visible across every vehicle, every warehouse, and every technician.

How Inventory Works

Vynta tracks inventory at three levels: When a technician completes a job and records parts used, Vynta automatically deducts those parts from their van stock and logs the consumption against the work order.

Setting Up Inventory

Add your parts catalogue

Go to Inventory in the sidebar and click Add Part. Enter the part number, name, unit cost, and the reorder threshold.

Stock your vehicles

Open a technician’s profile and assign van stock. Set the quantity loaded onto each vehicle.

Set reorder alerts

For each part, define a reorder threshold. When stock drops below this number, Vynta flags it on the dashboard.

Recording Parts on Jobs

When a technician completes a work order, they record which parts were used:
  1. Open the work order and go to the Parts section
  2. Select parts from the van stock inventory
  3. Enter the quantity used
  4. Vynta deducts from van stock and logs the cost against the job

Stock Transfers

Move parts between vehicles or from the warehouse to a van:
  1. Go to Inventory > Transfers
  2. Select the source and destination
  3. Choose the parts and quantities
  4. Confirm the transfer

Viewing Stock Levels

The inventory dashboard shows total stock across all locations, van stock per technician, low stock alerts, recent consumption, and total inventory value.

FAQ

Yes. Vynta uses part numbers and names. If you use barcodes, you can enter them as the part identifier.
The van stock will be out of sync. Vynta flags discrepancies when you run a stock count.
The unit cost in inventory is your cost price. When billed to a customer, the work order item uses your markup.
