Prerequisites
- A business email address
- At least one technician to dispatch
- A customer to create a job for
Step 1: Create Your Account

Sign up
Go to Vynta and click Sign in. Enter your email, create a password, and verify your email address.

Complete the onboarding wizard
The wizard asks for:
- Business name — your company name
- Logo — upload your logo (optional, can add later)
- Industry — helps Vynta suggest relevant job categories
- Team size — so we can tailor the experience
- Service area — the region you operate in

Set your work hours
Define your standard business hours (e.g., Monday to Friday, 08:00 to 17:00). This affects scheduling and auto clock-out.
Step 2: Add Your First Customer

Go to Customers
Click Customers in the sidebar.

Click Add Customer
Enter the customer’s:
- Company or individual name
- Contact person
- Email address
- Phone number
- Service address

Save
The customer is now in your system and ready to have jobs created against them.
Step 3: Invite a Technician

Go to Settings > Team
Click Add Team Member.

Enter their details
Name, email, and role (choose Technician for field staff).

Send the invitation
Vynta sends an email with a link to set up their account.
Step 4: Create Your First Work Order

Go to Jobs
Click Jobs in the sidebar and then New Job.

Fill in the work order
- Customer — select the customer you just created
- Job type — choose a category (e.g., “Installation”, “Repair”, “Maintenance”)
- Description — describe the work needed
- Priority — Normal, Urgent, or Emergency
- Scheduled date — when the job should happen

Save the work order
The job is now created with status Scheduled.
Step 5: Assign and Dispatch

Open the work order
Click on the job you just created.

Assign a technician
Click Assign and select your technician. Vynta shows their availability for the scheduled date.

Dispatch
The technician receives a notification with the job details. They can open it on their mobile app.
Step 6: Complete the Job
The technician on-site will:- Clock in when they arrive
- Open the work order on their phone
- Record parts used from their van stock
- Add notes or use voice dictation to describe the work
- Capture a signature from the customer
- Mark the job as complete
- Updates the job status to Completed
- Generates an invoice (if billing is configured)
- Updates the customer’s portal with the job details
- Adds the hours to the technician’s timesheet
